2026 Guide — OpenAI AI Agents Plain-English guide · No jargon

OpenAI AI Agents for Belgian SMEs — concrete use cases, real costs and GDPR compliance explained simply by LTC Group

Already using ChatGPT and wondering what a real OpenAI AI agent could do for your SME? Here's a plain-English explanation of how it actually works — and how LTC Group builds you one that takes over your repetitive tasks, not just a chatbot that talks.

What it actually is

An OpenAI AI agent,
what exactly is it?

OpenAI is the company behind ChatGPT. Its language models — the GPT family — are trained to understand and write text in a very natural way. Used on its own, inside ChatGPT, a GPT model is an excellent conversational assistant : it answers you, advises you, drafts for you. But it only does one thing : talk. It doesn't act inside your tools.

What turns this model into an agent is what OpenAI calls function calling — in plain English, tool use. In practice : you describe a list of actions the model is allowed to trigger (check stock, create a quote, send an email, update a customer record…). Faced with a request, the model itself decides which tool to use, in what order, and with what information.

01

You describe the task

A customer or a colleague makes a request in plain language — by email, chat or even out loud. No form, no menu : a sentence is enough.

  • Plain language, no syntax to learn
  • Just as accessible to customers as to staff
  • No technical training required
03

It loops until it's done

It checks what it got back, tries again if information is missing, and only stops once the task is genuinely finished — not just "answered".

  • Several steps chained automatically
  • Checks before concluding
  • A result, not just a reply

A technical detail that matters little to you : OpenAI updates its GPT models and the way it connects tools several times a year. We track those technical updates for you — your agent benefits automatically, without you having to watch a version number or a changelog.

Concrete use cases

Five tasks an agent
can take over today.

02

The agent that handles your quotes

It reads the request, pulls pricing and stock from your tools, prepares the quote and sends it for approval — in minutes instead of a half-hour of copy-pasting.

03

The agent that sorts your emails

Every morning, it sorts incoming emails by urgency, drafts a reply for standard cases, and flags only what truly needs your personal attention.

04

The agent that updates your CRM

After every call or exchange, it pulls out the useful information — contact, need, next step — and files it straight into your CRM. No more re-typing at the end of the day.

05

The agent that tracks your follow-ups

It watches where every quote or invoice stands, sends the follow-up at the right time, and alerts you if a hot lead suddenly stops replying.

How much it costs

Two ways to pay,
only one choice that really matters.

There are two very different ways to access OpenAI's models, and they don't serve the same need.

ChatGPT Business (or Enterprise) is a classic monthly subscription, per user — count on roughly €45/month for a very small team. It's the simplest way to give your team a capable assistant for writing, research, summarising or analysis. But it's a tool your staff use by hand : it isn't yet an autonomous agent wired into your systems.

The OpenAI API, on the other hand, is billed by usage — by the actual volume of text exchanged, with no fixed monthly commitment. It's the building block needed to construct a real agent connected to your CRM, inbox or invoicing. Cost scales with volume : a few one-off automations cost very little, an agent handling hundreds of requests a day costs more. And you need to add the development time to pick the right model, connect your tools and keep it running — which is exactly what we take care of.

GDPR & data sovereignty

Your data,
handled properly.

Let's be honest : OpenAI is an American company, and by default your data may pass through servers located in the United States. For a Belgian SME bound by GDPR, that's worth a close look — not a reason to give up on AI.

The nuance : OpenAI now offers a European data-hosting option for its business plans (API, Enterprise), along with a Data Processing Agreement (DPA) with standard contractual clauses covering transfers outside the EU. Used correctly, an agent built on OpenAI can absolutely comply with GDPR — provided it's configured properly from the start, which few SMEs do on their own.

If data sovereignty is a hard requirement for your business, two honest alternatives exist : Claude (Anthropic), a comparable-quality model worth evaluating case by case, or a locally hosted model, which gives you full control over your data but demands heavier infrastructure and maintenance than most SMEs want to manage themselves.

At LTC Group, we don't push a default vendor : we choose and configure the model — OpenAI, Claude or a local solution — that matches your actual constraints. European hosting where possible, signed DPA, training on your data switched off, everything documented before go-live.

How we go about it

You don't have
to configure anything yourself.

We start from your actual day-to-day, not a feature list. A free diagnostic to spot the highest-return task, design of the agent and connection to your tools, then training your team through to full autonomy — with support that stays available afterwards.

Our complete three-phase method — diagnostic, design & integration, autonomy — is detailed on our dedicated page for custom AI agents, with concrete examples deployed at Belgian SMEs.

Frequently asked questions

Your questions
about OpenAI AI agents.

It depends on the configuration. By default, data may pass through servers in the United States. But OpenAI now offers a European data-hosting option for its business plans (API, Enterprise), along with a Data Processing Agreement (DPA) covering transfers. Used correctly — which is what LTC Group sets up for you — an agent built on OpenAI can fully comply with GDPR.

Not to use ChatGPT day to day. But a real agent connected to your CRM, inbox or invoicing tool requires development : defining the right tools, securing access, handling error cases. That's exactly what our team does, so you never have to touch a line of code.

Both are excellent models, and honestly, the best choice depends on your use case : GPT (OpenAI) benefits from a broad ecosystem of tools and integrations, while Claude (Anthropic) is often praised for the quality of its French and its caution. At LTC Group we're not tied to any single vendor : we pick whichever fits your project best — sometimes even both, depending on the task.

For a first agent focused on one specific task (answering emails, handling quotes…), expect roughly 30 days between the diagnostic and going live. Larger projects, with several connected tools, naturally take longer — we give you a precise timeline right after the free diagnostic.

ChatGPT is a conversation : you ask a question, it answers, and you're the one who acts afterwards. An OpenAI AI agent goes further : it's wired into your tools (CRM, email, invoicing…) and acts on its own — it checks, decides, executes, until the task is actually done. That's the difference between an assistant that advises you and a colleague who gets it done.
