Document AI for SMEs in Belgium

Retyping an invoice received in PDF into your accounting software, re-reading a contract to find a specific clause, sorting scanned paper forms: this repetitive work can be taken over by automatic extraction, connected to your existing tools.

Every week, an SME receives dozens of invoices, purchase orders or forms in different formats: PDF, paper scan, photo taken on a phone. Someone has to open each document, locate the amount, date and reference, then retype them into the accounting or management software.

This manual data entry takes time and generates errors: a poorly copied digit, a forgotten reference, an invoice filed in the wrong place. Finding a specific clause in years of archived contracts then requires reading everything again, lacking a way to search within the actual content of the documents.

LTC Group builds document AI workflows that automatically extract useful information from your documents and transmit them directly to your tools, hosted on our OVHcloud servers in Europe.

What we do exactly

What our extraction workflow
includes.

  • Analysis of the types of documents to process: invoices, purchase orders, forms or contracts.
  • Implementation of automatic extraction of useful fields: amounts, dates, references.
  • Connection of the extracted flow to your existing accounting or management software.
  • Human verification provided for ambiguous cases, before any final validation.
  • Vector search base to find a specific clause in your archived contracts.
How it happens

From your actual documents
to the connected workflow.

01

Free assessment

Thirty minutes to identify the documents that cost you the most data entry time each week.

03

Deployment

Connecting the workflow to your management tool, with a reinforced verification phase at launch.

04

Follow-up

Adjusting the workflow when new types of documents or new suppliers appear.

Technologies

Reading a document,
not just scanning it.

The extraction workflow relies on n8n, self-hosted on our OVHcloud servers in Europe, to orchestrate the reading of your documents and their transmission to your management software. To find specific information in a large volume of archived contracts, we build a vector database with Qdrant, queryable with a simple question asked in natural language.

Depending on the sensitivity of your documents, we use open-weight models via Ollama directly on our servers, or an API integration to GPT, Claude or Mistral when the model's power takes precedence over strict confidentiality.

How much does it cost?

Our document AI workflows start from €249 / month excl. VAT, including hosting and maintenance. The exact amount depends on the volume and variety of documents to process, and is quoted to you free of charge after the assessment.

For whom, for whom not

Profitable from a
certain volume of documents.

For whom
  • SMEs that process dozens of invoices or forms each week.
  • Firms that manage numerous contracts or files to consult regularly.
  • Teams that lose actual time retyping the same information multiple times.
For whom it's not
  • Organisations that receive only a few documents per month.
  • Companies without management or accounting software to connect downstream.
  • Those looking for a hundred percent reliable extraction without any human verification.
Concrete achievements

Our tools Dedal IA, for architects, and Nota / Sérénotaire, for notaries, rely heavily on this ability to read and automatically structure dense business documents, permit applications or notarial deeds, to extract useful information without a complete proofread.

These achievements are presented in detail on our projects page.

Frequently asked questions

What we are asked
about document extraction.

No, the workflow accepts a native PDF as well as a photo taken on a phone or a medium-quality scan. The document quality only influences the reading reliability.

Ambiguous or unreliable cases are flagged for human verification before validation, rather than automatically transmitted without checking to your management software.

Not necessarily. Depending on the sensitivity of the documents, we prefer an open-weight model hosted on our servers rather than an external API.

Several types can coexist in the same workflow. We generally start with the one that costs you the most time, then gradually add others.

No, the objective is precisely to connect the extraction workflow to your existing tool, not to make you change it for this project.
