Every week, we get asked this question — sometimes with hope, sometimes with anxiety: "Is AI going to replace my assistant?" The honest answer is no. But what it can do in her place will surprise you.

What a secretary actually does in an SME

Before we talk about AI, let's ask the right question. What does your assistant actually do day to day?

If you list her tasks honestly, you'll find two very different categories.

On one side, repetitive and predictable tasks: confirming appointments, sending the same informational emails, chasing unpaid invoices, managing event registrations, updating the calendar, transferring calls, answering frequently asked questions.

On the other, high-value human tasks: welcoming a stressed client with the right tone, sensing that a supplier is unhappy before they say so, finding the right words in a delicate situation, making a quick decision when something doesn't go as planned.

The first category accounts for an average of 60 to 70% of an assistant's time in an SME. The second is everything that truly justifies the role.

AI can handle the first. Not the second.

What AI already does better than a human secretary

Let's be direct. On certain very specific tasks, AI is objectively more efficient.

It never sleeps. A client sends an email at 11 pm asking about your opening hours tomorrow. Your assistant will reply in the morning. An AI agent replies in 30 seconds. For many clients, that's the difference between booking with you or going to a competitor.

It never forgets. A scheduled invoice follow-up always goes out on the right date, with the right amount, to the right client. No "I forgot" or "I was swamped this week".

It's consistent. The same confirmation email, with the same information, in the same format, every time. No variation based on mood or stress levels.

It never gets discouraged. Chasing an unpaid client five times in a row is exhausting for a person. For an automated system, it's just another rule.

What AI will never do in her place

Here's what doesn't change, regardless of the technology.

Tact in difficult moments. When a client is furious, when a supplier cancels at the last minute, when someone calls in tears because their situation is stuck — an experienced secretary knows exactly what to say, how to say it, and when to suggest calling back later. No AI agent in 2026 comes close to that level of emotional finesse.

Reading implicit context. Your assistant knows that Mrs. Dubois can't stand calls before 9 am. That Mr. Van den Berg prefers to be contacted by email. That this supplier always takes 3 weeks longer than they promise. This invisible organisational memory is irreplaceable.

Decisions under pressure. When two things happen at once and someone has to prioritise, improvise, or make a call in 10 seconds — that's when you need a human. AI executes predefined rules. It doesn't handle total unpredictability well.

Real-world case: the Moreau practice in Charleroi

Dr. Moreau runs a medical practice in Charleroi with two partners. Three doctors, one full-time secretary, around 60 patients a day.

Before automation, their assistant was spending around 2.5 hours a day solely on appointment confirmations, reminders about documents to bring, and answering standard questions about reimbursements, health insurers, and opening hours.

After 3 weeks of setup with LTC Group: automatic SMS confirmations 2 days before the appointment, automatic emails with the relevant document checklist based on consultation type, an online FAQ answering 80% of common questions.

Result: their assistant gets back 2.5 hours a day. She now dedicates that time to welcoming patients in person, managing urgent cases, and coordinating with specialists — the tasks where her experience truly makes a difference.

Where to start if you want to try this

There's no need to automate everything at once. Here's a logical progression over 4 weeks.

  1. Week 1 — Identify the repetitive tasks. Ask your assistant to log everything she does over 3 days, and to flag any task she repeats more than once a day. You'll have your list in 72 hours.
  2. Week 2 — Automate appointment confirmations. This is almost always the fastest win. A tool like Calendly or Acuity sends confirmations, reminders, and preparation documents automatically (2–3 hours of setup).
  3. Week 3 — Set up automatic replies. Create a simple FAQ on your website or in an auto-reply email covering the 10 most frequent questions. Your assistant won't have to answer them manually anymore (1 day).
  4. Week 4 — Connect your contact form to your CRM. Every new enquiry lands directly in your CRM, categorised, with the contact's details. No more copy-pasting, no more things falling through the cracks.
