Client case University / faculty — zero repetitive tasks and +12 h per week for the admin team thanks to LTC Group AI agents

Room bookings, student follow-ups, reports, data transfers — all repetitive tasks handed off to AI agents, so the admin team can focus on what matters: the students.

N° 02 — Context & challenge

Modernise
without breaking everything.

A faculty of around 800 students, 40 teaching staff and about fifteen administrative officers. The institution wanted to modernise without throwing everything out. The existing tools — student management software, shared calendar, Excel for rooms, student platform — were holding up, but at what cost? Constant double data entry, weekly room conflicts, student follow-ups sent whenever someone remembered, and end-of-semester turned into a spreadsheet marathon.

Pain points identified during the audit

01

Room management: weekly conflicts

Bookings managed in a shared Excel file edited by everyone. Multiple classes ending up in the same room. Students wandering the corridors looking for where to go. One admin officer was spending the equivalent of half a day per week putting out fires.

~½ day / week
02

Data scattered across 6 systems

Student management software on one side, learning platform on the other, accounting elsewhere, Outlook for emails, Excel for the rest. Every piece of information had to be re-entered 2 or 3 times. And of course, discrepancies between systems that nobody could explain.

Re-entry ×2–3
03

Student follow-ups left to chance

Enrolments to finalise, missing documents, payment reminders, thesis deadlines — all sent manually, when someone thought of it. The result: files left hanging, struggling students spotted too late.

N° 03 — What we built

We didn't replace the tools.
We made them talk to each other.

02

Automated student communications

Everything that can be anticipated is: enrolment reminders, thesis and missing-document deadlines, early detection of at-risk students (attendance, grades, payments), internship confirmations and administrative approvals. Personalised emails sent in the tutor's name, reviewed before sending when needed. Staff handle sensitive cases; the AI manages the repetitive volume.

03

A bridge between all existing systems

No new software to buy, no disruptive migration. Student admin ↔ accounting synchronised (enrolments, payments), attendance, grades and results pulled through without manual entry from the learning platform, and one-click reporting for management and teaching staff.

04

Training to full independence

Every admin officer was trained until fully autonomous. No team left to figure it out alone: we document, we support, and we stay reachable after deployment.

Automatic sync of enrolments and payments.

Learning platform

Attendance, grades and results pulled through without manual entry.

Dashboards

One-click reporting for management and teaching staff.

N° 04 — What changes

Concretely,
in the faculty's day-to-day.

Room conflicts

0 over the semester
Before

3 to 5 conflicts per week. Classes doubled up in the same room, students lost, admin officer tied up half a day a week putting out fires.

After

0 room conflicts across an entire semester. The agent checks capacity, equipment and availability in real time before every booking.

Student follow-ups

90% automated
Before

Manual, sent whenever someone remembered — missed one time in three. Files left hanging, difficulties spotted too late.

After

90% of follow-ups automated, 0 missed. Reminders, deadlines and missing documents go out at the right time, in the tutor's name.

Student admin ↔ accounting transfers

0 discrepancy
Before

2 hours per week of manual re-entry, with frequent discrepancies between systems that nobody could explain.

After

Automatic synchronisation, 0 discrepancies. Enrolments and payments flow through without human intervention.

End-of-semester reporting

30 sec vs 2–3 days
Before

2 to 3 person-days compiling spreadsheets at the end of every semester. The infamous Excel marathon.

After

30 seconds, online. Dashboards generate themselves for management and teaching staff.

Drop-out detection

Alert from day 10
Before

Struggling students spotted at the academic review — often too late to intervene effectively.

After

Alert sent to the tutor from day 10, based on attendance, grades and payments. Staff intervene in time.

Admin time per file

−60%
Before

Processing time for a student file was used as the baseline (100%), between re-entries and back-and-forth between tools.

After

−60% time per file. Single data entry and automations absorb the repetitive workload.

N° 05 — The results

+12 h per week,
given back to people.

+12h / week for the team

reinvested in human support for students — the faculty's core mission. Nobody was replaced, just freed from the repetitive.

N° 06 — Key takeaway
We didn't replace the tools already in place — we made them talk to each other. AI took on the repetitive, the team took back the meaningful. More time for students, less time for spreadsheets.
